# Importing SAT Test Data

Importing SAT test data into Aware requires a certain file format. We offer support for **SAT**, **PSAT 8/9**, **PSAT 10**, and **NMSQT** files. When accessing data in the College Board platform, ensure that all file exports are saved as a **CSV** to import successfully into Aware. For additional information on accessing that export, refer to [College Board’s help documentation](https://support.collegeboard.org/).

> [!WARNING]
> **Caution:** If you make changes to your file, ensure to save the file as a CSV and that the date fields do not get overridden to another format.

## **SAT File Format Requirements**

To ensure a successful upload, verify that all of the fields listed in the **SAT Required Fields** table are present, have the exact Field Header Value in the top cell of the column, and are appropriately formatted.

Some fields require data in the column, and other fields do not. If a field does not require data, the column does still have to exist in the file. Any field that is optional can be empty.

If additional columns exist other than the ones listed below, you can still import the file. However, not all of the data in the extra fields will be available in a data view.

### SAT Required Fields

| Field Header Value | Format ( if applicable) | Data Required? |
| --- | --- | --- |
| LATEST_SAT_DATE | M/D/YYYY (3/12/2023) *or* YYYY-MM-DD (2006-08-09) | Required |
| LATEST_SAT_GRADE | | Required |
| BIRTH_DATE | M/D/YYYY (3/12/2023) *or* YYYY-MM-DD (2006-08-09) | |
| NAME_FIRST | | |
| NAME_LAST | | |
| AI_CODE | | Required1 |
| STATE_STUDENT_ID | | Optional2 |
| DISTRICT_STUDENT_ID | | Optional2 |
| LATEST_SAT_TOTAL | | Required |

1School AI_CODE is also required to be entered in **Management**.

2Only optional as long as NAME_FIRST, NAME_LAST, and BIRTH_DATE fields have data. The Student ID fields would be preferred if available to match students to data.

There are a number of fields that come with score data that are not listed in the SAT Required Fields table that will be important to include for the import to be meaningful. For instance, these score fields are required for section performance to be linked to students. However, lacking these columns or the data in them will not stop the import from succeeding.

Example fields:

- LATEST_SAT_EBRW
- LATEST_SAT_MATH_SECTION

## **PSAT 8/9 File Format Requirements**

To ensure a successful upload, verify that all of the fields listed in the **PSAT 8/9 Required Fields** table are present, have the exact Field Header Value in the top cell of the column, and are appropriately formatted.

Some fields require data in the column, and other fields do not. If a field does not require data, the column does still have to exist in the file. Any field that is optional can be empty.

If additional columns exist other than the ones listed below, you can still import the file. However, not all of the data in the extra fields will be available in a data view.

### PSAT 8/9 Required Fields

| Field Header Value | Format ( if applicable) | Data Required ? |
| --- | --- | --- |
| LATEST_PSAT_DATE | M/D/YYYY (3/12/2023) *or* YYYY-MM-DD (2006-08-09) | Required |
| LATEST_PSAT_GRADE | | Required |
| BIRTH_DATE | M/D/YYYY (3/12/2023) *or* YYYY-MM-DD (2006-08-09) | |
| NAME_LAST | | |
| NAME_FIRST | | |
| AI_CODE | | Required1 |
| STATE_STUDENT_ID | | Optional2 |
| DISTRICT_STUDENT_ID | | Optional2 |
| LATEST_PSAT_TOTAL | | Required |

1School AI_CODE is also required to be entered in **Management**.

2Only optional as long as NAME_FIRST, NAME_LAST, and BIRTH_DATE fields have data. The Student ID fields would be preferred if available to match students to data.

There are a number of fields that come with score data that are not listed in the PSAT 8/9 Required Fields table that will be important to include for the import to be meaningful. For instance, these score fields are required for section performance to be linked to students. However, lacking these columns or the data in them will not stop the import from succeeding.

Example fields:

- LATEST_PSAT_EBRW
- LATEST_PSAT_MATH_SECTION

## **PSAT 10 and NMSQT File Format Requirements**

PSAT 10 and NMSQT are recognized as separate tests when importing. All PSAT and NMSQT tests will still be recognized as a PSAT test type, but the name of an NMSQT test will show NMSQT in the file name.

Example names:

- October 2023 PSAT/NMSQT, Grade 10
- November 2023 PSAT 10, Grade 10

To ensure a successful upload, verify that all of the fields listed in the **PSAT 10 and NMSQT Required Fields** table are present, have the exact Field Header Value in the top cell of the column, and are appropriately formatted.

Some fields require data in the column, and other fields do not. If a field does not require data, the column does still have to exist in the file. Any field that is optional can be empty.

If additional columns exist other than the ones listed below, you can still import the file. However, not all of the data in the extra fields will be available in a data view.

| AI_CODE | | Required1 |
| STATE_STUDENT_ID | | Optional2 |
| DISTRICT_STUDENT_ID | | Optional2 |
| LATEST_PSAT_TOTAL | | Required |
| SELECTION_INDEX | For PSAT10, this field will be blank. For NMSQT, it will have a numerical value. | Required |

1School AI_CODE is also required to be entered in **Management**.

2Only optional as long as NAME_FIRST, NAME_LAST, and BIRTH_DATE fields have data. The Student ID fields would be preferred if available to match students to data.

Example fields:

## **Troubleshooting Failed SAT Imports**

The file should load data as long as the following criteria are met:

- All of the fields in each respective table are present, even if the optional ones contain no student data.
- All of the fields have the correct column name in the header.
- The fields marked “Required” have data.
- The file is saved as a CSV.

If there are any required fields not present, manually add them to the spreadsheet and give them the proper label. For additional help using the SAT exporter, refer to [College Board’s help resources](https://support.collegeboard.org/). Fields with required data may need to be populated if they weren’t automatically.

Comma-Separated Values, a file format used for importing and exporting data, particularly in educational assessments. Spreadsheet programs such as Microsoft Excel or Google Sheets are commonly used to read and edit CSV files.
