When new courses are imported into Eduphoria from your SIS, an administrator with the Edit Course and Sections right will need to assign a subject to the courses.
We recommend checking for new courses at the beginning of each year. Coding courses impacts building assessments and data analysis in Aware.
Note: Eduphoria managers should code all courses that will be associated with any local assessment to a subject area. This step is necessary to view data on imported and locally administered tests at the Teacher Summary View and Course/Section Summary View in data analysis.
Coding Courses
Step 1: Open Management.
Step 2: Select the Roster tab.
Step 3: Select the option to Set Subject Information.
You will see all of your imported courses listed. Any course that does not have a subject assigned with show N/A listed under the course title.
Optional Step: If a large number of course pages are listed, you may find it beneficial to choose a specific campus by clicking the Select Schools option. Selecting a school will filter the courses to display only the courses rostered to that campus.
Step 4: Select Mass Change to assign a subject to courses using a combination of filtering options.
Step 5: Start by choosing either Course Number or Course Title. Then, use one of the following options: Equals, Starts With, Ends With, In Range (for Course Number), or Contains (for Course Title).
Step 6: Type the criteria into the text box, then select the subject from the drop-down menu. Click Apply when finished.
An end result could look like the following: “If the Course Number Starts With 016, set the subject code to Mathematics.”
Filtering Recommendations for Specific Scenarios
If this is the first time you are setting subject information and none of your courses have a subject assigned, use the following combinations to mass assign a subject to courses.
Course Title + Contains
If, for instance, you set the filters to Course Title Contains Math, you could set the subject code “Mathematics” to any course title containing the word “Math.”
Course Title filtering doesn't work intuitively for all subjects. For example, using the word “Art” and the subject code “Elective” may inaccurately code the English Language Arts courses as elective courses.
Course Number + Starts With, Ends With, or In Range
If courses in your district are strategically numbered, then you can easily mass assign subjects by Course Number. For instance, if all Math course numbers in your district start with “04,” then using Course Number Starts With 04 would allow you to assign Mathematics to all Math courses.
If you are setting a subject for a single course or a handful of different courses, the following options will work best:
- Course Number + Equals with the exact course number.
- Course Title + Equals with the exact course title.
Changing or Updating the Subject
If you want to change or update the subject assignment for a course, check the box next to Reset the subject for courses that are already coded. Then, filter by using the exact course number or title.
