As we look at data for various test, often the question come up of who can see what in their Analyze tab. For now, let's talk about teachers.
- What can teachers see in their Analyze tab?
- First, what does the system see as a teacher? A teacher to the system is a user who has courses and students associated with their account, without roles or rights. I know that some districts do add roles and rights to their teacher accounts, but for this discussion we will assume that there are none.
- "What testing data should my teachers see?"
- Teachers can view all current and past testing data for their current students. They can't see data for students that they no longer have, but they can see all data associated with students that are currently assigned to them.
- "Can my teachers edit their views like I can?"
- Teachers can view data by selecting one of their courses, or by selecting All My Students to see everyone who took the selected test. They can also have a Received Views folder if an administrator has sent a view to them. The district may choose for Teachers to have access to Edit Views. Any updated Views will be saved to the Teachers' account under My Saved Views. The teacher may send or share a view but will be unable to add them to a campus or district list for others to use from the dropdown area.
- "Is this where Teachers can see data for their Teacher Tests?"
- Yes it is! If the teacher selects a class that took the teacher test (or All My Students), they can drill down and see their Teacher Tests as an option to select from. In fact, ONLY teachers can see their Teacher Test data.
What can Teachers see in their Students tab?
- "Do Teachers see the same data for a student in the Students tab?"
- Mostly. They can look up THEIR students (or students that they have in an approved monitor list) in the Students tab. They can search them by name, form, All My Students, just like an administrator. They will see the schedule in the General tab, the scores and test history in the Tests and Scores tab, Forms in the forms tab, etc. However, there are differences based on settings.
- For example, Test Types can be hidden by administrators, Form security can limit who can see it, and teacher can only see the Journal entries that they make themselves.
- Mostly. They can look up THEIR students (or students that they have in an approved monitor list) in the Students tab. They can search them by name, form, All My Students, just like an administrator. They will see the schedule in the General tab, the scores and test history in the Tests and Scores tab, Forms in the forms tab, etc. However, there are differences based on settings.
While we are looking at Aware, lets talk about Monitor Lists and Monitor Groups.
- "What is a Monitor List?"
- A Monitor List is a list of students created in the Students tab. Anyone with a Students tab can create a Monitor List. This list will primarily do two things.
- For teachers who create a list of their own students:
- The list should not require approval
- For teachers who do not have the students on their list assigned to them:
- The list will require approval by the campus Principal.
- It will give the teacher access to the students in the Students tab, and in Analyze under My Student Groups.
- Monitor Lists are often used by Special Education teachers to give them access to see data for students that they serve.
- For teachers who create a list of their own students:
- A Monitor List is a list of students created in the Students tab. Anyone with a Students tab can create a Monitor List. This list will primarily do two things.
- "What is a Monitor Group?"
- A Monitor Group is created by a user with campus level (or higher) roles in the Students tab. This group does not require approval (as campus level users can only access students on their campus), and is primarily used to filter test data.
- When you are viewing data for a test, you can click Edit > select the Columns tab > open the Monitor Groups folder > drag over the needed group into the view > click the view to highlight > click Add Filter and set it to = Yes > update. This will show you the data for the test, but only for the students in this group!
- A Monitor Group is created by a user with campus level (or higher) roles in the Students tab. This group does not require approval (as campus level users can only access students on their campus), and is primarily used to filter test data.
- "Speaking of filters, what are they and what else can they be used for?"
- Filters are for administrators that can be added to different data points while editing a view in Aware. You can select just about any column, add a filter and get the data you want, without the rest getting in the way. Another example of using a filter would be to add a filter to the Approaches column and set it = yes. When you update, you will only see students who reached that level or above for the test you are looking at. If you set the filter to = no, then you would see just the students that did not at least reach the Approaches level for the test.
