To copy comments from the observation template, the Strive Appraisal Administrator manager must change the setting in the Summative Template Options tab to allow Appraisers to select the option to bring comments over to the Summative template.
Once the manager sets the correct options, follow the steps to create a summative form with pre-populated form data from observation forms.
Step 1: From the navigation, select Appraisees under Appraisal. Then, select the Appraisee’s card.
Step 2: Select the Summative evaluation template. You can do this two ways.
- Option 1: Select the Appraisee’s Evaluation Process tab, select the End of Year Conference drop-down arrow to access the Summative document, and click the plus (+) sign to start the document.
- Option 2: Select the Appraisee’s name card, click the vertical ellipses to access the pop-up window, and click New Evaluation to start a new document.
Step 3: On the pop-up, check Copy existing observation data into my Summative Evaluation, then select Create.
The Summative document imports previous scores and comments from the Observation form. Comments from multiple forms will fill the comment boxes using a line break to indicate the separation of comments from forms.
Scoring Information
For ratings to copy from the Observation to the Summative, ensure you have connected the matrix rows to the dimensions in both the Observation and the Summative templates.
Scored vs. Not Scored
For scored templates with numerical value ratings, data will be based on the numerical value in the matrix. If there is more than one observation, the numerical value is averaged and rounded up in favor of the teacher.
For unscored templates without numerical value ratings, data will be based on the most frequently selected rating.
- Unscored example with duplicate ratings: If there are three observations and in question #2 (matrix), two appraisers selected ‘proficient’ and one selected ‘developing,’ the template copies the ‘proficient’ rating over because it is selected most often.
- Unscored example without duplicate ratings: If there are multiple observations and in question #2 (matrix) there is one ‘proficient,’ one ‘accomplished,’ and one ‘developing,’ the rating is randomly selected.
