What happens when someone notices a typo, or finds a problem in Strive while doing evaluations? How can these things be correct? Are there any risks to be aware of?
Changes to an Evaluation Template:
- "Can I make changes to one of our evaluation templates? Will it mess up anything?"
- You can absolutely make changes to your templates as needed. You can fix typos, add questions, tag comment boxes or matrix rows. Be sure to click Save at the top when you are done! Once you save, anytime this document is added to a staff member from now on it will appear with all of the edits you made. Existing documents will remain as they were before the edits were done.
- If some of the appraisers have already used the document, and these need to be changed as well you will need to click Update Existing Documents. This CAN cause potential data loss, depending on the edits that were made.
- "Data loss?! That's not good. What edits could do that?"
- Deleting a question, comment box, or other section will cause any data in that area that currently exists to be lost if you Update Existing Documents. If the question or item no longer exists, there isn't a place for the information to be.
- Moving sections of the document around can cause data loss. If there are documents with data in these sections that get moved, the system may not be able to find where they went and lose if Update Existing Documents is selected.
- "So what kind of edits are safe to update to existing documents?"
- Changing the title.
- Adding items below the existing ones.
- Tagging items to the Framework
- Changing the title of a section or correcting a typo
- "Data loss?! That's not good. What edits could do that?"
- Basically, if nothing is deleted or moved around you are probably fine Updating Existing Documents. When in doubt, please contact us and we will be happy to help!
Changes to an Appraisee Type:
- "Can I make changes to my Appraisee Types and what are the risks?"
- You can make any changes that you need to your Appraisee Types. You can change the Framework, add steps to the Process, add tasks to a step, change task options, or change the title or name of the type, steps or tasks. You can add new documents, and remove old ones as well.
- Once your updates are done, you will want to Save and Update Existing Process Instances so that staff who are being evaluated as this type will have the changes applied to them.
- "But what about data loss? When I click Update Existing Process Instances it says I could have some?"
- Have no fear! You can update the existing instances without losing documents that have already been created for staff before the changes are made. This is what that "Other Documents" section is for at the bottom of every user's evaluation tab (as long as they are being evaluated). If an appraiser had created a walkthrough for a staff member, and then that particular walkthrough form is removed from the Appraisee Type, it will simply now appear in Other Documents.
- "I have a document that is in Other Documents, but I want it to be elsewhere in the process. What can I do?"
- Simply add the document to a task under the step that you want it to display in, Save and Update Existing Process Instances. The document should now display in that step of the process.
- "But what about data loss? When I click Update Existing Process Instances it says I could have some?"
